Configure request workflow

The request workflow defines the set of statuses that a request moves through during its lifecycle.  

It typically represents the steps your organization uses to process requests.

The default request statuses are:

Listing request statuses

To list request statuses:

Step 1: Go to the "Administration" > "Request statuses".

This will bring you to a page that lists all the request statuses:

 

Include in menu header count?: When enabled, the system will include requests in the given status when counting requests for the "Requests" module counter in the menu bar

Ask for addtional notes?: When enabled, the system will ask for additional notes when transitioning the request to this status.

Additional notes visible to clients?: When enabled, the additional notes will be visible by the client.

Notify clients by email? When enabled, the system will send an email to the client when transitioning the request to this status.

 

Creating a request status 

To create a request status:

Step 1: From the request statuses list, click the "New request status" button.

This will display the "Create request status" form.

Step 2: Enter the mandatory information.

Step 3: Click the "Save" button.

 

Update a request status 

To update request status:

Step 1: From the request statuses list, click the "Update" icon (a.k.a pencil icon) next to the appropriate request status.

This will bring you the "Update request status" form.

 

Step 2: Modify the information.

Step 3: Click the "Save" button.

 

Delete a request status 

To delete request status:

Step 1: From the request statuses list, click the "Delete" icon (a.k.a "X" icon) next to the appropriate request status. 

This will display the "Delete request status" dialog.

 

Step 2: Select a replacement status.  All existing requests with the status you are deleting will be migrated to the new selected status.

Step 3: Click the "Yes" button.
